What Is on a Real IRS-Compliant Donation Receipt?

A donation receipt that will actually hold up for a tax deduction has to match specific IRS substantiation rules, not just look like a thank-you note - the required fields change depending on the donation amount and whether the donor received anything in return.

$250 written acknowledgment threshold

Donors claiming a deduction of $250 or more for a single contribution must have a contemporaneous written acknowledgment from the charity - obtained by the time they file their tax return - or the deduction can be disallowed even if the donation itself was legitimate.

Quid pro quo disclosure over $75

If a donor receives goods or services in exchange for a payment over $75 (for example, a gala ticket or a thank-you gift), the charity must give a written disclosure stating a good-faith estimate of the value received and noting that only the amount exceeding that value is tax-deductible. Charities that skip this disclosure face a $10-per-contribution penalty, capped at $5,000 per event or mailing.

'No goods or services' statement

When nothing was exchanged for the donation, the acknowledgment must explicitly say so - the standard IRS-recognized language is that no goods or services were provided in consideration of the contribution, which is what makes the full amount deductible.

EIN and 501(c)(3) status, not just the org name

A credible receipt names the organization's Employer Identification Number (EIN) and confirms 501(c)(3) tax-exempt status, since donors and their tax preparers use the EIN to verify the charity's exempt status if the IRS asks for substantiation.

In-kind donations describe the item, not its value

For non-cash gifts, the charity's receipt describes the donated property (e.g. 'men's clothing, 3 bags') but does not assign it a dollar value - determining fair market value for the deduction is the donor's responsibility, not the charity's.

Contribution date and amount as separate, exact fields

The date of the contribution and the exact cash amount (or item description for in-kind gifts) must both appear clearly, since these are the two data points the IRS cross-checks against the donor's own tax filing.
