What Is on a Real Simple Receipt?

A simple receipt is the minimum viable proof of payment, and it can be handwritten or machine-printed - what makes it valid is the information on it, not the format. These are the fields that give a basic receipt its evidentiary weight.

Handwritten receipts are legally valid

No US law requires a receipt to be machine-printed. A handwritten receipt from a carbon-copy receipt book is accepted by the IRS, small-claims courts, and most insurers, provided it identifies who was paid, for what, when, and how much.

Seller identification you can trace

Whether printed or handwritten, the receipt must name the business or person paid, ideally with a phone number or address. An anonymous receipt that cannot be traced back to an issuer carries almost no weight in a dispute or audit.

An unambiguous date and amount

A full date and the amount in figures are the two fields reviewers check first. Careful handwritten receipts also spell the amount out in words, the same way a check does, so the figure cannot be altered after signing.

A description of what was paid for

At least a one-line description of the goods or service. Vague wording like 'services rendered' is a common reason tax preparers and expense reviewers ask for more evidence - the IRS expects the purpose of the payment to be identifiable.

Payment method and payment status

Cash, card, or check, plus whether the amount was paid in full or was a deposit with a balance due. For cash this matters most: there is no bank trail behind a cash payment, so the receipt is often the only record it happened.

A signature carries the weight on handwritten receipts

A register receipt authenticates itself through the merchant's system; a handwritten one relies on the issuer's signature and the duplicate copy kept in the receipt book. Both signature and duplicate are what make it verifiable later.
