What Is on a Real Gas Pump Receipt?
Pay-at-pump receipts are printed by the dispenser's point-of-sale system and follow a nearly universal layout across US stations. A credible replacement copy should match these fields.
Gallons metered to three decimals
Dispensers are legally metered devices, so the volume line always shows three decimal places - for example UNLEADED 10.215 GAL @ $3.499/GAL. Price per gallon is also commonly shown to a tenth of a cent, a fuel-industry convention dating back decades.
Pump number and site ID
Every receipt names the pump that dispensed the fuel plus a site, store, or terminal number that identifies the station in the operator's network. A transaction or sequence number ties the slip to the station's electronic journal.
Fuel grade and product code
The grade appears as a product name like REGULAR, UNLEADED 87, PREMIUM, or DIESEL. Fleet-card receipts often add a numeric product code so back-office software can categorize the purchase.
Fuel taxes hidden in the per-gallon price
US pump prices already include the 18.4 cents per gallon federal excise tax on gasoline (24.4 cents on diesel) plus state motor fuel taxes. That is why many pump receipts show a $0.00 sales tax line - the taxes are built into the rate, not added at checkout.
Authorization details, not just a total
Card transactions print the masked card number, card type, an approval or authorization code, and sometimes a reference number. Pay-at-pump purchases start as a pre-authorization hold, and the receipt shows the final captured amount.
Timestamp and station address
The full date, time, and street address matter for mileage logs and expense reports - reviewers use them to match the fill-up against route records and per-diem claims.

Get Your Original Gas Pump Receipt First
If the pump did not print, the original is usually still recoverable: return to the same station and give the cashier the date, exact amount, and last 4 digits of your card - most fuel POS systems can reprint from the transaction journal for weeks. Fleet-card and pay-at-pump app users can pull e-receipts from their account history instead. Use this template when the original is unavailable - a faded thermal slip, a station that cannot reprint, or a fill-up paid in cash.

Go back to the same station and ask the cashier for a duplicate - most POS systems can reprint a transaction if you give the exact date, the amount, and the last 4 digits of the card. If the register cannot find it, ask a manager, since many stores restrict reprints to a manager screen. Stations that use pay-at-pump apps also store e-receipts in the app's transaction history.
It depends on the method. If you use the IRS standard mileage rate, you need a mileage log, not fuel receipts. If you use the actual expense method or claim fleet fuel costs, itemized pump receipts showing date, gallons, price, and station are the supporting records the IRS and most finance teams expect.

A real pump receipt is a narrow thermal slip showing the station name and address, a site or store number, the pump number, the fuel grade, gallons metered to three decimal places (like 10.215 GAL @ $3.499/GAL), the fuel total, the payment method with the last 4 card digits, an authorization code, and a date-time stamp with a transaction or sequence number.
Creating a receipt-style document for your own records is fine: recreating a lost receipt for personal bookkeeping, documenting a real purchase, or testing layouts. Using a generated receipt to claim a refund, return, reimbursement, or tax deduction for a purchase that did not happen is fraud and strictly prohibited. All template content is demo data and does not represent real transactions.
